The Billing/Administration Specialist ensures that quotes/orders for testings are created and confirmations are sent to clients, that invoices are generated and/or uploaded to client's processing portals. Other duties include filing invoices, resolving customer disputes regarding invoices, processing and emailing credit card information to corporate accounting for application, forwarding checks received to the corporate accounting office, answering phone, assisting in collection efforts, enter new clients in system. 

 

SPECIFIC RESPONSIBILITIES:


•Process Quotes, orders in Order Management system.

•Coordinate and submit client’s set up requests

•Process prepayment and follow up timely on orders placed on hold

•Invoices for testing are processed according to client quotes and PO's, standard pricing schedule and program pricing
• Verify prices, dates, client’s addresses and complete folder before invoicing.

• Answer client questions about invoices and/or respond to client requests in a prompt, efficient manner that cultivates trust and reliability.

• Resolve any customer disputes, enter credits in SharePoint platform as needed

• Field client phone calls in a friendly, polite, and ultimately professional manner.


 


SERVICE RESPONSIBILITIES:


• Provide administrative support to program managers and senior quoters and process tasks in timely manner as not to impact turnaround time

• handle credit cards, checks, external subcontracting if needed

• May cross-train to assist other billing admin team or be their back up.

• Follow up on all orders in execution and due for invoicing.


TECHNICAL RESPONSIBILITIES:


• Proper use of computer hardware and software provided to do the job.

 • Proper use of Oracle order management and other internal tools.
• Proper use of office equipment, e.g. scanners, printers, copiers, fax machine, mail stamp meter.

 

ADMINISTRATIVE RESPONSIBILITIES:


• Miscellaneous word processing tasks (letters, quotes, protocols, etc.).
• Miscellaneous office tasks (filing documents, mailing documents, sorting incoming mail, etc.).
• Knowledge of and familiarity with all SOP’s pertaining to administrative functions.

• Participation in administrative staff meetings and training sessions.

 

SUPERVISION :


• Receive guidance with respect to general objectives; in the majority of tasks and projects assigned, determine methods, work sequence, scheduling, and how to achieve objectives of assignments; operate within specific policy guidelines.
