PRIMARY RESPONSIBILITIES

 
  • Ensures the correct and timely checking of technical and financial documents and the immediate sending of feedback to parties concerned.
  • Accurately and efficiently encodes in the database the pertinent details of technical and financial documents received from affiliates using applicable data entry tools.
  • Efficiently distributes nominations to executing affiliates and monitors their confirmation.
  • Ensures the correct and timely checking / monitoring of vessels in port traffic.
  • Assists the affiliates in the resolution of their queries or concerns regarding input and output data of a report or document.

SPECIFIC RESPONSIBILITIES

 
  • Monitors the movement of SGS and non-SGS nominated international vessels calling at designated ports and terminals
  • Provides technical support to the Port Traffic Team in terms of vessel and product particulars; vessel and terminal operations
  • Accurately and efficiently encodes in the system the details of inspection reports and vessel data received from available sources
  • Determines and analyzes the reasons for discrepancies in information received and do the proper action to resolve the issues.
  • Regularly prepares and submits productivity reports
  • Maintains the integrity of the contents of database necessary for credible statistical reports.
  • Actively attends and participates in team and company meetings.
  • Provides suggestions on process improvements.
  • Reports to Management any breach of integrity, solicitation for, or offer of, an improper payment or advantage coming to his/her knowledge.
  • Performs other Responsibilities as may be assigned by theIOS Manager to achieve operations efficiency. Examples of other tasks are as follows: to Lead or Member of Special Projects or Task Force.
  • Complies with the QHSE policies including but not limited to:
  • Demonstrates strong commitment to SGS QHSE Policies, Procedures, and Work Instructions by participating in safety meetings, completing required training, intervening in unsafe situations, refusing unsafe work, and complying fully with all applicable laws and regulations related to QHSE.
  • Responds appropriately to emergency situations and assists other staff members in maintaining readiness to respond to emergencies within the workplace.
  • In accordance with the SGS QHSE Management System requirements, disposes of, or directs the disposal of, waste generated as a part of daily work performed in a safe manner and in compliance with all waste transportation and disposal regulations and requirements.
  • Reports all incidents (actual incidents and near misses) in accordance with the SGS Incident Reporting requirements.
  • Uses all equipment (including safety equipment) in the manner intended and reports any damaged/lost equipment to supervisor.
  • Maintain a safe and tidy worksite.
  • Maintains awareness of hazards and proposes controls to supervisor, QHSE Representatives or relevant client/site contact.
  • Actively participates in incident investigations and risk assessments as deemed necessary by SGS management.
     
  • Performs other related duties as may be assigned either in support of departmental goals or for his/her personal or professional training, education or development as programmed by his/her immediate superior.

*May include any combination of responsibilities as needed in a project.

PROFILE

 
  • Must have at least a university or college degree or have completed an equivalent technical/vocational course.

REQUIRED SKILLS

 
      Experience / Technical knowledge
  • At least 3 years Marine Inspection or similar job experience in Oil, Gas and Chemicals industry
  • Computer literate (familiar with MS Windows applications).
  • Must type at least 35 words per minute with an accuracy rate of at least 90%.
  • Audit and proof-reading exposure preferred.
  • Detail and result-oriented.
  • Able to coordinate and motivate.
  • Good communication and interpersonal skills.
  • Able to build trust, respect and confidentiality.
  • Acts quickly and decisively; able to make tough calls.
  • Can work on Weekends and on rotation shift basis (Morning, Mid or Night Shift).
     
    Languages
     
  • Must possess good oral and written communication skills in English.
  • Additional language/s in oral or written communication skills an advantage.
