SITE ADMINISTRATOR

 

 

REPORTING LINE

Westport Operations Manager

 

 

PRIMARY RESPONSIBILITIES

Effectively assist with the smooth running of the Westport Minerals and EHS office to ensure the deadlines and expectations are met regarding data entry, job profiling, site administration, HSE and QMS, payroll timesheets and invoices for finance and clients.

Daily liaison with customers and suppliers in a professional and friendly manner.

  

 

 

 

SPECIFIC RESPONSIBILITIES

·         Provide an administration service that fully meets the requirements of the Westport Minerals/EHS Laboratory.  This includes data entry, profiling jobs in laboratory software (SLIM), processing invoices (SLIM/Oracle/BOSS), time sheets for wages, answering queries via letter, email, phone etc., handling minor staff queries, working with Finance, Support services and Purchasing.

·         Provide support / troubleshooting for routine SLIM issues.

·         Required to assist with EOM financial reporting in conjunction with relevant site staff and financial services requirements.

·         Work with Westport KTP and technicians to ensure equipment register is appropriately maintained and entails the required QMS documentation.

·         Work with Westport KTP and technicians to ensure staff personnel and training files/material is appropriately filed/documented and reflected in the QMS.

·         Escalating problems to Senior Minerals/EHS Management if they arise to ensure compliance with Minerals/EHS governance procedures and /or dealing with the day-to-day issues in a professional and service focused manner.

·         Answering the telephone promptly and professionally so that customers understand they are important to our business, taking messages and communicating to the appropriate staff as required.

·         Work with the Westport Laboratory Manager to maximize business returns whilst minimizing exposure and risk for the company.

·         Ensure all activities are carried out with regard and recognition of Health and Safety requirements and personal safety.

·         Undertake all other relevant and reasonable work requests relevant to the position

 

 

REQUIRED SKILLS

·         Proven Administrative experience to expert level including the ability and experience in management reporting and checking technical data

·         Strong computer literacy including using databases and excel spreadsheets.

·         Excellence in communication both oral and written, including report writing.

·         Ability to work with others in a team environment.

·         Good organizational skills

·         Proven interpersonal skills including the ability to supervise and manage resourcing and dealing with people.   

·         Professional and customer focused at all times

·         Some understanding of laboratory management and/or the minerals/mining industries would be an advantage.

·         The ability to problem solve and analytical thinking

·         The ability to challenge the status quo to achieve quality commitments and continuous improvement

·         Full New Zealand Driving License

   

   

 

OPERATIONAL INTEGRITY / HEALTH & SAFETY

·         Demonstrates strong commitment to HSE Policies, Procedures, and Work Instructions by participating in safety meetings, completing required training, intervening in unsafe situations, refusing unsafe work, and complying fully with all applicable laws and regulations related to HSE

·         Responds appropriately to emergency situations and assists other staff members in maintaining readiness to respond to emergencies within the workplace

·         In accordance with the HSE Management System requirements, disposes of, or directs the disposal of, waste generated as a part of daily work performed in a safe manner and in compliance with all waste transportation and disposal regulations and requirements

·         Reports all incidents (actual incidents and near misses) in accordance with the Incident Reporting requirements

·         Uses all equipment (including safety equipment) in the manner intended and reports any damaged / lost equipment to supervisor

·         Maintain a safe and tidy worksite

·         Maintains awareness of hazards and proposes controls to supervisor, HSE Representatives or relevant client / site contact

·         Actively participates in incident investigations and risk assessments as deemed necessary by management.
